Invoice Processing Automation in practice.

Understand the work, the handoffs and the decisions that stay with your team.

An invoice workflow your AP team can follow

The work begins where invoices arrive: shared inboxes, supplier portals or scanned documents. We organize those inputs and extract the fields needed for your accounts payable process.

Invoice number, supplier, line items, tax and payment terms are checked against your rules. Missing fields and suspected duplicates are separated from records ready to progress.

Matching does not replace approval

Two-way matching compares the invoice with the purchase order. Three-way matching also checks the goods receipt, helping identify differences between what was ordered, received and billed.

You set the tolerances and approval responsibilities. An invoice outside those rules goes to review; automation does not grant payment authority.

Start with representative invoices

A useful scope includes your invoice formats, monthly volume, accounting software and examples of common exceptions. We use these to assess extraction and integration needs.

The agreed output is an approved, coded invoice record with supporting documents and posting status. Payment release remains a separate authorized step.

Your questions,
answered.

Which invoice formats can be assessed?

PDFs, scans, images, spreadsheets and structured feeds can be assessed during scoping. Representative supplier documents help establish the capture method and review requirements.

What if an invoice has no purchase order?

It can follow a separate non-PO approval route. The required account coding, supporting evidence and approver are defined before that workflow goes live.

Can the system catch duplicate invoices?

Duplicate checks can compare supplier, invoice number, amounts and other agreed fields. Suspected duplicates are flagged for review rather than silently discarded.

Does invoice automation release supplier payments?

The workflow prepares and posts approved invoices. Payment authorization and release remain governed by your separate payment controls.
